Data processing
This data processing is necessary in order for us to ship and deliver items at the expected quality level. To deliver items such as letter mail and parcels, Österreichische Post AG (hereinafter referred to as "Österreichische Post") processes names and addresses as well as other item-related data (if required).
We only save data for items that recipient need to sign for. The data of all other items are saved for a short period of time for sorting purposes and are subsequently deleted.
If you have requested services (e.g., redirection, authorisation to receive mail, Release delivery authorisation) for handling your items, you will find this in the data information document provided by us.
The legal basis for this are the Austrian Postal Market Act and Article 6 (1) (b), (c), (e) and (f) of the GDPR.
The data are stored until the sender, recipient or other parties can no longer make any warranty claims or claims for damages.
Data processing for the purpose of handling your inquiries
We process data to be able to handle our customers' inquiries. We will store the name, address and contact information such as the e-mail address or telephone number as well as the question the customer has sent us. In addition, we save information about when we collected the data and when the question was resolved.
The legal basis for this is Article 6 (1) (f) of the GDPR.
Data processing for marketing purposes
Österreichische Post provides comprehensive information about its own products and services and processes data for this purpose. In the data information sheet provided, you will find a detailed overview of data processed for this purpose. If you have also subscribed to one of our e-mail newsletters, we will process the e-mail address to which we send the newsletter.
The legal basis for this is Article 6 (1) (f) of the GDPR. If you also receive an e-mail newsletter, the legal basis also includes Section 107 of the Austrian Telecommunications Act and Article 6 (1) (a) of the GDPR.
Data processing as part of our address broker business
To the extent allowed by law, Österreichische Post uses data from its business activities as an address broker and offers them to business clients for marketing purposes. You will find the data collected by Österreichische Post itself in the data information sheet provided by us. Among others, data is collected during the participation in raffles or a similar marketing activity or when there is no objection to data processing for marketing purposes.
When you use our paid services (e.g., redirection, vacation hold mail), we will let you know in writing that we share data with third parties for marketing purposes.
Information about data sharing is available on the form of the product in question. You also have the option of objecting to this data sharing.
In addition, you can object at a later point.
However, there is a possibility that we purchased data from another address broker. In that case, the data information sheet provided by us will include an additional page with the name of the address broker from which we received the data.
If you have joined the so-called Robinson list, address brokers may not sell or purchase your data. In that case, the provided data information sheet will include this data on the "Robinson list" page. To prevent this data from being shared with third parties, Österreichische Post receives a monthly updated version of the Robinson list from the Austrian Federal Economic Chamber, checks it against its marketing database and blocks those persons whose data are on the Robinson list, from data sharing.
The legal basis for this are Section 151 of the Austrian Industrial Code and Article 6 (1) (f) of the GDPR.
Data processing related to vehicle purchase and claims settlement
If you have purchased a vehicle from Österreichische Post or if you were involved in an accident with an Österreichische Post vehicle or have made any other claim, we will process the data we received during the sales transation or claims settlement. Should the above apply to you and if you would like to receive additional information about processed data, please let us know so that we can research detailed information.
The legal basis for this are Article 6 (1) (b) and (f) of the GDPR.
Data processing related to real estate management and sales
If you have purchased or rented an Österreichische Post property, e.g., a flat or a house, we will process the data we have received for the contract. Should the above apply to you and if you would like to receive additional information about processed data, please let us know so that we can research detailed information.
The legal basis for this are Article 6 (1) (b) and (f) of the GDPR.
Data processing for the purpose of other contract performance
If you have entered into an agreement with us (e.g., redirection, release delivery authorization, PO box, e-letters or other agreements such as rental or leasing agreements, we have the process the related data in order to perform the contract.
The legal basis for this is the Austrian Postal Market Act and Article 6 (1) (b) of the GDPR.
Duration of data storage: up to 3 years after the end of the agreement, depending on the contractual relationship.
Data processing for the purpose of customer and interested party management
If you are a customer of Österreichische Post or if you have gotten in touch with us, we will process your data as part of this business relationship.
The legal basis for this is Article 6 (1) (f) of the GDPR.
Duration of data storage: up to 3 years after the last contact.
Data processing for the purpose of user management
If you have signed up for our online platform, you can view this data yourself in your online account.
The legal basis for this is the Austrian Postal Market Act and Article 6 (1) (b) of the GDPR.
Duration of data storage: up to 3 years after the account was last used; until the deletion of the account for clients whose identity has been verified.
If you are or were an employee of Österreichische Post, we will process your data as part of your employment relationship
to meet all legal obligations (e.g., social security, payment of taxes and duties), but also for administrative purposes regarding the employment agreement such as wage and salary payment, attendance records, communication, granting of IT access rights, etc.
Inquiries from Österreichische Post employees are directly handled by our HR department. If you are an Österreichische Post employee, please let us now and you will receive information about data processed as part of your employment agreement in a separate letter.
